Context
Nana’s Clean is a cleaning service. Most jobs came through inbound messages.
Reality:
- Inquiries arrived at random hours across channels
- Replies depended on the owner being available
- Prospects dropped off when they didn’t get fast answers
- No structured way to capture job details
The owner didn’t want to hire someone to sit on messages. But she also didn’t want to lose sales.
Problem & constraints
Business objective:
Increase booked jobs and revenue by giving prospects instant, 24/7 attention—without adding headcount.
Constraints:
- Keep it chat-based (customers already message)
- Qualify and collect enough info to schedule a real cleaning job
- Feel like a conversation, not a rigid form
- Make it easy for the owner to see and manage bookings
System design
I mapped the booking into a conversational workflow:
- Incoming inquiry — user starts a chat (“Hi, I need cleaning”)
- Qualification — bot asks a short sequence:
- Type of service
- Property size / type
- Preferred dates and times
- Address and contact details
- Confirmation — bot summarizes and confirms
- Booking creation — structured request passed to owner
- Follow-up — reminders or confirmations as needed
User sees: a fast, friendly back-and-forth. Business sees: a clean, structured booking.
Implementation & my role

- Ordered them to feel natural and low-friction

- Built the flow in ManyChat for instant 24/7 responses
- Added logic for incomplete answers and clarifications

- Structured captured data: who, what, when, where, notes
- Set up notifications so new bookings never got lost
